Quick Hit: Paperless 2 for Mac OS X

Back in December we introduced you to Paperless by Mariner Software, an application that really allows you to get all those bits of paper on your desk, in your pocket, glove box, briefcase and purse into a useful electronic format.

While I’m not sure that we’re going to see a totally paperless society in my lifetime, Paperless sure goes a long way in terms of decluttering your environment. It allows you to scan in bills, receipts, business cards and more. And using its built-in OCR, it can transform the information in the scanned images into a format that you can read, edit and create reports from. And for some of us, it’s an alternate solution to wading through our paper blizzards to get our hands on the information that we can never find – especially at tax time!

65 New Features

Enter Paperless 2 for Mac OS X (the current release is actually 2.02). They’ve added over 65 new features to the software including enhancements to its database functions, OCR recognition, work-flow and user interface, image-editing tools, reporting as well as the Calendar.

Let’s touch on a few of them.

With Paperless 2,  you now have the option to merge document and receipt libraries into one making it easier to keep related collections altogether. You’ll be able to track your own custom documents like bills, medical files and other forms. You can even add your own custom fields like text, currency, dates or check-boxes. This can be particularly handy when you need additional information that may not have been included on the source documents a certain way.

As your collection grows (does it ever stop),  you’ll be able to sift through your results a lot quicker by use of the tagging feature. There is even a tag palette to help quickly classify the more frequently scanned items.

The OCR engine has also been enhanced to support additional document types and they’ve even added an auto guessing function for receipt types.

The user interface has an updated toolbar and modernized buttons. You’ll also notice the application’s use of Cover Flow that makes it feel a little more Apple-like. They’ve also added a new Rule Editor for smart collections.

With the Reporting function, you now have the ability to your custom fields to your reports. As well, instead of having to use outside applications to add visual enhancements like pie charts, tables and animations, they can be added right from within Paperless. Similarly, editing tools will allow you to crop, freely rotate and adjust your images.

One other handy feature is the addition of a Calendar the lower in the lower left-hand corner of the screen where you can get display marks on the days when the date matches an item that you’re viewing.

Mariner is still working on the online video tutorials for version 2.0. For now, you can still view those created for version 1.3.

These are just a couple of the new features in Paperless 2.02. It runs only on Intel-based Macs running Mac OS 10.5.8 or higher. Snow Leopard 10.6 is required to take advantage of all the new features.

The price remains at $49.95 or $24.95 for current owners. It’s available directly from Mariner Software. Boxed editions, Family Packs and Bundled Editions are also available.
